The Team Tool for Microsoft Office Outlook^®

The Lucatec^® Mask Add-in for Microsoft Office Outlook^® is a small utility which automates certain routine tasks if you have set up public eMail accounts for individual departments, branches or tasks of your organization.

Apart from your personal eMail address/mailbox you may have access to one or more shared mailboxes or Public Folders, e.g. for your department or for special functions like user support. If you want to send an eMail on behalf of that team or function you have to manually enter the respective sender address into the "From" field. Otherwise the mail would be sent from your personal email address and any replies would end up in your personal mailbox rather than in the team's folder (and you would have to remember to move same to the shared mailbox for other users to be able to view it). You might furthermore have to take care to use a special message signature appropriate to the current sender.

This is where Lucatec^® Mask steps in: It will automatically determine the correct sender address, save target and signature to use based on the current folder context (e.g. whether the user is currently inside a shared mailbox or mail-enabled Public Folder). It can set the sender address to any arbitrary address that the user has been granted "Send On Behalf Of" or "Send As" permissions for.

Lucatec^® Mask's default behaviour was designed with the most common scenarios in mind. For instance, mails sent from a mail-enabled Public Folder or any of its sub-folders will automatically be sent on behalf of that folder and the respective sent messages will also be stored inside that very folder. Likewise, messages sent from within a shared mailbox will naturally be sent on behalf of that mailbox and be saved in that mailbox's Sent Items folder. All this will work right from the get go without you having to perform any additional configuration. It doesn't stop there, though: If your requirements are more complex than these two examples you have a powerful set of individual configuration options readily available at your finger tips to fine-tune the behaviour.

• NEW in 3.0! by using default naming rules for signatures, it becomes unnecessary in many cases to set up signatures at the folder level. Instead, Lucatec^® Mask can simply determine which signature to use by the name of the folder/mailbox or the mail account associated with it
• NEW in 3.0! synchronizes Outlook signatures with a central network location, thus making it possible to administer them at a single location
• NEW in 3.0! when designing your email signatures you can use dynamic placeholders, e.g. for the name or address of the current user or even for inserting the contents of an external file. When the signature gets inserted into the message these get automatically replaced with the desired contents. This way, the same signature template can be used for multiple users, further decreasing the administration effort.
• NEW in 4.0! better yet, dynamic placeholders in signatures are actually integrated with Active Directory, i.e. you can use any of the attributes associated either with the current user or the message's sender inside the signature, such as Department, Title, Phone, Mailing Address, etc.
• allows overriding of sender properties for individual folders, even when they're not mail-enabled otherwise (useful e.g. for sub-folders of mail-enabled public folders or for sorting messages sent from a public folder into a different, dedicated folder) See this feature in action!
• intelligently handles sender properties when replying to or forwarding messages regardless of the current folder selection
• NEW in 3.0! can automatically reuse the original recipient as the new sender when replying to messages inside a folder where messages addressed to multiple valid senders are collected
• NEW in 3.0! when doing a "Reply All" on behalf of another account mimics Outlook's behaviour when doing "Reply All" on one's own behalf, i.e. it removes the sender from the list of recipients (except when the message being replied to was sent by that account)
• evaluates folder options recursively, i.e. if you need the same sender/signature settings for multiple sibling or nested folders, it is sufficient to have them defined for the top-level folder - a per-folder override (see above) is still possible See this feature in action!
• allows to define a list of valid senders which you can then select from a dropdown list before sending a message. This list can optionally be auto-populated by scanning the available mailboxes and Public Folders in your Outlook profile.
• allows to associate options with valid senders, i.e. when you change the sender manually the sent message will automatically be moved to the target folder associated with that sender regardless of what folder you had selected when you created the new message.
• provides a popup dialog to view and edit options applied to the current message. This dialog can also be shown automatically whenever you send a message thus allowing you to verify (and possibly correct) the sender selection on the fly. This can be suppressed selectively based on whom you're sending the message to.
• NEW in 4.0! if you occasionally want to save sent messages to a different folder than the one that's defined as the default for a given sender, Lucatec^® Mask will still save you time: instead of having to browse for the alternative target folder each and every time you need it, it simply remembers all the folders you've ever used for a sender and allows you to select them from a dropdown list when you need them.
• allows to display the actual sender of sent messages as an additional column in folder views without disclosing this information to recipients.
• can also be used with non-Exchange mail servers (see Version 2.0 Release Notes for details on requirements for this)
• allows globally defining sender/signature settings to be used for all messages on a per-user basis - a per-folder override (see above) is still possible See this feature in action!
• NEW in 3.0! includes a true multi-language user interface with built-in support for user-supplied translations. Furthermore, this enables users working in a Citrix-/Terminal Server environment who share a single installation to freely choose Lucatec^® Mask's language

Evaluation

The trial version will allow you to send 100 mails with corrected sender addresses and is entirely nag-free up to the 50^th message at which point it will start to show a reminder everytime you start Outlook. Furthermore, the trial will expire on a fixed date between six and twelve months after release (see Release notes for the specific expiry dates of the individual releases).

Licensing

• Licenses are distributed in the form of a license key combined with the name of the licensee (will be queried during the order process).
• After registration the name of the licensee will be visible in the application's user interface. Keep this in mind when ordering for a third party!
• Standard licenses are available in our online shop. These licenses are valid for a specified number of users that will be using the application. Volume discounts are available for these licenses (also see below for alternative licensing models).
• Every online order will result in exactly one licensee/key pair which contains the entire licensing information. You should use this license for all installations you aquired the license for.
• The terms (i.e. especially the number of licensed users) of multiple licenses installed in a Citrix/Terminal Services environment will not "add up"! Only the terms of the key that was registered last will be effective! If you find that you need more licenses than you originally ordered, please contact us directly about special upgrade keys (also see below).
• Special-priced licenses are available on request, e.g. for customers...
